Practice management software
« on: 10 November, 2007, 05:33:08 pm »

I was wondering what people are using for practice management software and how they made their choice.   I am in the early stages of designing some software and would appreciate any input.  If there are features you love or things that annoy you or even things you wish your software did I would appreciate the info.

Hi, I've been using ealth for two years and can't say a bad word against it.  It is online software so perhaps for a really busy clinic it might be too slow but I enjoy not having to back up and keep cds etc.  Also, when I recently opened my own business I considered developing the software using Filemaker Pro, however, realised I wanted it to operate just like ealth so I kept using it.  Cheers, Angie

Thanks Angie,
I might have an unfair view of ealth.  We have it at our student clinic and given there are so many "practitioners" it is painfully slow.

Hi there,

I've been using Physiosphere software for about 15 months. I have found it to be a comprehensive product, easy to navigate and streamlines history taking etc. Provides some pretty stats and graphs regarding trends in the clinic in terms of average no of treatments, breakdown of regional presentations eg. low back pain, neck pain etc. Overall quite happy with it.

My experience: I didn't like ealth at all.  Very clunky user interface and as slow as can be.  Java based stuff is to be avoided like the plague in my opinion.  It also tended to require restarting fairly often and somedays went down with drastic ramifications.  User support was average also.  Notes features were fairly mediocre.  Get something designed to integrate with windows better that has the ability to import and export data and word docs.  The only good feature was the remote capabilities, so if a patient called and you were away from your desk but on a wireless laptop or something similar, you could access the appointment list.  This is not a bad thing and a feature I'd look for in other packages if you are on the go.  Otherwise, I would use outlook as a booking system before I chose ealth.

Hi, I have been using Smart Soft [Front Desk] for about 10 years,I have had no major problems, any queries, I get an immeadiate response,
The past 5 years I have been using a voice activation program, also using a hand held recorder to dictate patient notes when I am away from the computor-then transcribing the notes into the patient file at a later time.

Thanks for the input, really helpful.  If there are any specific features that people particularly appreciate I'd like to know.

Also do any of the management programs link up with exercise prescription programs? or allow for you to make your own?

The value of import/export was great advice thanks Usteo.

Other than the reports already mentioned by Lukee what kinds of stats do people find useful?

Thomas, do you mean your voice activation program transcribes for you from your hand held recorder? is that part of front desk or something you have added?

Thanks again  Smiley

I have also been using Smart Soft's Front Desk the last 2 years and find it works very well.  You can customise it quite well and can set it up via networking so you can access your notes via the internet when you are away from the office.  Agree questions are answered very quickly and the program is constantly being updated and improved.  More info from:

I think Front Desk is great too, but the history/case notes functions are a bit underdeveloped.

I don't mean to be a pain with the constant questions but Luke do you think you could tell me what you would like to see in history/case notes functions?

I'd liked to have seen more accurate notes in terms of taking a case history.  Effective diagrams where pain distribution could be highlighted with associated symptoms would have been excellent, especially to display to the patient on a screen in the room.  Also, to review treatment by weeks would have been good (I'm thinking of having a drop box that allows quick review of treatments by date or week).

Physiosphere provides AP,PA,lateral diagrams and allows both fine spray or ticks for highlighting pain distributions it also allows numbers for different sites of complaints. The history taking section is comprehensive but is easy to move through quite quickly. Menus for provide each joint complex with usual ortho and special tests, neurological exam and neurodynamic testing findings. Check www.physiosphere.com

Hi Liora,

I'd like to see more than a blank page that you can add a few words to.  Wink

Some kind of comprehensive but alterable template for Med Hx and exam. I've used one that could label treatment histories to separate later complaints (a 'complaint log' of sorts) for each patient, which I liked. It'd be great to able to create a shortcut pad with buttons of all the stuff you type  very frequently (like the one you can create on Word) so all you need to do is click.

FrontDesk does all the things have been mentioned in the last few posts.

For templates for Medical Hx and Exam, you can create your own and as many as you want, and they are seperated into history and treatment templates.  I have one history template for Presenting problem, one for general medical history and red flag screening, one for babies and children.  If a person I have seen before comes in with a new problem, I enter a new Presenting problem for that date.  I then have one treatment template for initial examination and treatment, one for followup treatments, one for 10 minute neuro exam, one for babies and children.  You can create these templates directly in FrontDesk, or you can do it in a word document, then copy and paste it into FrontDesk and it will retain the formatting.

It also allows you to import and use different diagram templates.  I use one that has AP, PA and Lateral diagrams.  You can then draw all over these templates with different symbols and colours for different symptoms like sharp pain, dull pain, burning pain, numbness.  I have a couple of others like one of the spine and ribs so I can draw and explain to patients what is going on in their spine.

So, the case notes section is only developed as you make it with your templates.  I looked at other softwares and found they weren't as customisable as FrontDesk with creating your own templates.  The only thing you can't do is flag patients having certain problems like back pain, neck pain, etc and then later do a search for all your patients who have had back pain.

Yes, but it's still extremely rudimentary - compared to one I've just been introduced to from the UK called Private Practice.

Hi everyone,

I'm in the throes of deciding which practice management software to go with and I am struggling to see the difference between Front Desk and NetOsteo apart from a significant price difference (NetOsteo being approx half the cost of front desk).

Does anyone have any experince with NetOsteo or can you offer any advice?

Would really appreciate it.

Yeah.. I'm in the same situation.... My experience is with FrontDesk, but I am looking at NetOsteo and I thought I'd check out TM2.  I have requested demo CD's from the latter two.

What I love about FrontDesk: right-click menu options on names, one-step account billing/receipt, the recording of WHO made and WHEN each appointment was made and edited (helps solve those pesky receptionist errors because you can track who did what), flexible diary options.  Ability to network software across multiple computers, christian/surname/phone number client search options, legends for "arrived" "reminder call" and notes..... can't think of anymore at the moment, other than that I plan to integrate SMS reminder calls in my office, and 2008 does that.  I don't use the note-taking function, all our notes are still hand-written.

I look forward to playing with the other two programs to see how they stack up against FrontDesk.

I've used "Houston Medical" (http://nzsoft.co.nz) - for 5 years, and having just moved to Australia recently - am unsure about whether to continue with it here. I (luckily) don't have to pay the set up fees, but they do charge you $75/mo ongoing licensing fees.

I must say - the program is amazing, from notes to accounts - i cannot think of anything that it does not do. Probably only worth looking at if you have multiple practitioners in your practice.

Cheers

Hi all

We recently (3 months ago) installed a new system cal "Visual outcomes". It`s very comprehensive, fully paperless, and quick. As we have 2 clinic locations, we needed something that works through a server so patients can go to either locationand their files are available. We can also make appointments from one clinic to another without having to ring the other practise. It also has the usual email/sms comunication systems to patients and a good comunication system from Rx room to front desk. Patients can also make their own appointments online and also have acsess to their own account history or patient files. Overall, very happy with this sytem.

I have long wondered when we would get to the stage of online bookings - personally, I'm all for it.  Do they pay with credit card online as well?
A non-refundable appointment 'hold fee' of 30-50% would help guarantee patients turned up.
Thanks David

can do it but we don`t. So far no probs. The system does not show the appointments available, it asks for your time parameters and provides the closest match.
